Interested in coordinating an event?  Read the information below to understand the responsibilities, then email SVWR letting us know you'd like to be a Coordinator.

Before the Event

1.

Contact the person at the non-profit organization and obtain the following information:  
  (a)  starting and ending time of the event  
  (b) location  
  (c) duties and responsibilities of the volunteers  
  (d) special requirements such as dress, will food be provided
 

2.

Leave your name, phone number and email address with the contact person.  They may need to inform you of changes with the event.
 
3. Create a description of the event including the above information.  Email this to the SVWR Coordinator Chairperson.  They will have it posted on the web site and included in the newsletter.
 
4. Determine the number of volunteers needed.  Too many volunteers is discouraging to our members, and too few may hinder the event.  (It is a good idea to have a some alternates in case one of our members backs out of the event.)  Both the event contact person and the SVWR Coordinator Chairperson can help with this. 
 
5. Once the item is posted on the SVWR web site and in the newsletter, people will begin to volunteer for the event.  Maintain a list of those signing up, including the volunteer's email address.
 
6. When you have the number of volunteers required, inform the SVWR Coordinator Chairperson.  They will have the event marked "Full" on the website and in the newsletter.
 
7. If you do not have enough volunteers one week before the event, contact the SVWR Coordinator Chairperson so an emergency request can be sent.
 
8. If you still do not have enough volunteers after two days from sending the emergency request, contact the SVWR Coordinator Chairperson.  They may try to recruit individuals.
 
9. One week before the event, call the contact person of the event.  
  (a) Inform them of the number of people we can provide.  
  (b) Ask if there are any changes in our responsibilities.
 
10. With your list of volunteers, make assignments for the duties and responsibilities for the event.  The SVWR Coordinator Chairperson or any Board member can help if you are unfamiliar with any of the volunteers.
 
11. Approximately four days before the event, send out a reminder email to those who signed up.  Include:  
  (a) Starting time of the event  
  (b) Location of the event and parking arrangements (if applicable)  
  (c) Meeting location for the volunteers  
  (d) Directions to the event  
  (e) Dress requirement  
  (f)  If food and drinks are provided, especially for long events

Day of the event

1.  Arrive early to find your contact person.  Reintroduce yourself.
2.  Ask if there are any last minute changes in duties or responsibilities.
3. Once all the volunteers have arrived, make sure they know each other and give a quick tour of the event.
4. Hand out the assignments to the individual volunteers.
5. Ask if there is an interest in socializing after the event and where.

During the event

1.  Check on the volunteers to see if they need a relief.
2.  Make sure they are comfortable with their assignment.

End of event

1.  Let the contact person know you and the volunteers are leaving.
2. Have a goodtime socializing!

After the event

1.  Send a thank you email to the volunteers.
2. Send the list of volunteers to the SVWR Coordinator Chair.
